Build a unit-level record first
Use a spreadsheet, fleet platform, or internal system to list unit number, VIN or identifying information, make/model/year, assigned driver or department, current mileage, manufacturer maintenance interval, recent work, and pending concerns. Set time and mileage reminders from the manufacturer schedule
Preventive maintenance is strongest when it follows the actual vehicle requirements. Some units reach mileage triggers quickly while others are driven infrequently; a plan should make both patterns visible rather than using one calendar date for every vehicle.
